Who We’re Looking For:

We are seeking a highly motivated and energetic full-time Administrative Office Manager with excellent internal and external client service skills to help manage our growing RiNo office and remote employees, currently at 30+ team members.  The Administrative Office Manager will organize and coordinate administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.  The ideal candidate is a quick study who takes initiative, recommends solutions and will work hard in a fast-paced environment.

What You’ll Be Responsible For Achieving:

  • Provide administrative support to executive team members including calendar management, internal and external meeting coordination, domestic travel and expense reconciliation.

  • Responsible for setting up company happy hours and company meetings including A/V equipment, presentation materials and meal/beverage coordination.

  • Negotiate the purchase of office supplies furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budget.

  • Post open job descriptions and screen candidate resumes for hiring managers.

  • Supervise the maintenance of office equipment, including copier, fax machine, etc.

  • Responsible for the office’s day-to-day operations (such as distributing office access keys handling mail receipt and distribution, etc.)

  • Keep office supplies organized, paper in printer etc.

  • Participates as needed in special department projects and research needs.

  • Assist in the onboarding process for new hires and other HR related duties as needed.

  • Assist with presentation creation as needed.

  • Ability to perform a variety of functions, basic bookkeeping, purchasing, supply inventory control, order entry, and other administrative functions.

  • Processing payments to vendors.

  • Greet and speak with clients/employees in a friendly and professional manner.

  • Be the top Company morale booster; birthday cards, anniversaries, company milestones/celebrations.

  • Be a member of Company’s culture club.


What Will Make You Successful:

  • Experience with a variety of office software (email tools, spreadsheets, and databases) including MS Office, Google product suites and Slack to be able to accurately handle administrative duties.

  • Ability to maintain high standards of professionalism, confidentiality, communication and performance.

  • Ability to work independently and in a team-based environment.

  • Ability to hold office accountable and manage on-going projects for deadlines.

  • Ability to perform work tasks with speed, precision and attention to detail.

  • Ability to work under pressure and in high stress situations.

  • Ability to move and lift objects up to 20 pounds.

  • 1-3- years relevant work experience, previous experience as an Administrative Assistant is a plus.

  • Associate Degree or higher desired.

  • Ideal candidate is outgoing, dependable, positive and likes to have fun!
